Internal AI Assistant

Internal AI is a private AI assistant for your employees. Instead of searching through folders, documents and internal guides, they ask Pingu a question and get an answer based on your company's own knowledge.

You can train it with:

• Employee handbooks
• Policies and procedures
• Internal guides and training materials
• Product documentation
• FAQs and standard operating procedures

Set up Internal AI

1. Turn it on

1. Log in to the dashboard and open AI Assistant settings.
2. Go to Internal AI and turn Enable Internal AI on.

2. Generate your secret code

1. Select Generate Secret Code. Pingu creates a unique code for your organization.
2. Copy the code and share it only with authorized team members.

3. Upload your company knowledge

1. Go to Internal AI → Knowledge Base and select Upload Files.
2. Choose your company documents.
3. Wait while Pingu processes and indexes the files.

When indexing is complete, Internal AI is ready to use.

How employees use it

1. Open the Pingu chat widget.
2. Type #internal to enter Internal AI mode.
3. Enter the secret code from your organization.
4. Ask a question, for example "What is our annual leave policy?" or "How does our onboarding process work?"

Pingu answers from the documents your organization uploaded.

Keep it up to date

Add new documents or remove outdated ones whenever your policies or processes change. Pingu answers from what's in the knowledge base, so keeping it current keeps answers accurate.

Common issues

The secret code isn't accepted. Check that it was copied in full. If you generated a new code, the old one may no longer work. Ask your admin for the current code.

Answers are missing information. The document may not be uploaded or may still be indexing. Check Internal AI → Knowledge Base.
